WeScanFilm ("we", "us", "our") operates this website and provides photo, film, and heirloom digitization services from our studio at 12805 Harmon Rd Suite 215, Fort Worth, TX 76177. This policy explains what we collect, why we collect it, how long we keep it, who we share it with, and the choices you have. It covers both this website and the originals you entrust to our studio.
The originals you entrust to us
Most privacy policies only describe a website. Ours has to describe something more personal: we take physical custody of irreplaceable material. Photographs, slides, negatives, VHS and other videotapes, movie reels, audio tapes, maps, posters, scrapbooks, and photo albums pass through our hands, and the digital files we create from them can contain images of your family, your home, your documents, and your private life.
We treat that material as yours at every stage. Your originals stay in our Fort Worth studio for the duration of the project and are returned to you with the finished files. We do not publish, license, sell, or submit your images to any stock library, training dataset, or third party. We do not use your family's images in our marketing, on our website, in our gallery, or on social media unless you have given us specific, separate permission to do so — a general work order is never that permission. Our staff access your files only to perform the scanning, restoration, transfer, and quality-control work you have asked for.
We keep the digital files we produce for a limited period after delivery so that we can replace a lost drive or re-send a download link, and then we delete our working copies. If you would like your files deleted from our systems sooner, tell us and we will do it and confirm in writing.
Information we collect through this website
Information you give us. When you submit a form on this site, we collect your name, email address, phone number, a description of the collection you want digitized, and anything else you choose to write in the message field. You provide this deliberately, and we use it to answer you and to quote your project.
Information collected automatically. Like most websites, ours records standard technical information: pages viewed, approximate location derived from IP address, referring site, browser and device type, and time on page. We use this in aggregate to understand which services people are looking for and to fix problems.
We do not collect payment card details through this website. There is no card-entry field anywhere on this site, and we do not run financing applications online. See "Payment security" below.
The tools we actually use
We name these specifically rather than describing them generically, because you cannot make a real choice about tools you cannot identify:
- Google Analytics 4 and Google Tag Manager — aggregate website measurement: which pages are visited, how visitors arrive, and which service pages lead to enquiries.
- Google reCAPTCHA — protects our forms from automated spam. Its use is subject to Google's own privacy policy and terms of service.
- Our website and lead-delivery platform, operated by CI Web Group — hosts this site and delivers your form submission to our studio inbox.
We do not run advertising retargeting pixels, session-recording software, or third-party chat widgets on this site. If that ever changes, this section changes with it.
Your Privacy Choices
Your California Privacy Rights — Do Not Sell or Share My Personal Information
This section applies to California residents under the California Consumer Privacy Act as amended by the California Privacy Rights Act (CPRA). We extend the same choices to every visitor, wherever you live, because we think they should be universal.
Categories of personal information we collect. Identifiers (name, email address, telephone number, IP address); commercial information (the services you enquire about or purchase); internet or network activity (pages viewed, referring site, device and browser information collected through Google Analytics 4 and Google Tag Manager); and the contents of the images, recordings, and documents you deliver to us for digitization.
We do not sell your personal information — we never have, and we do not exchange it for money or anything else of value. Under the CPRA, the analytics cookies described above may nonetheless be treated as "sharing" personal information for cross-context behavioral advertising purposes. You can switch that off.
How to opt out. Two ways, both of which we honor:
- Use the cookie choice on this site. Selecting Decline in our cookie notice withdraws consent for analytics and advertising storage immediately, and your choice is remembered on return visits.
- Send an opt-out preference signal. We honor Global Privacy Control (GPC). If your browser or extension transmits a GPC signal, we apply the opt-out automatically, with no interaction required from you and no banner to dismiss.
Your other rights. You have the right to know what personal information we have collected about you and how we use it; the right to request deletion of that information; the right to correct inaccurate information; and the right to request the specific pieces of information we hold. To exercise any of these, email [email protected] or call (214) 519-9637. We will verify your identity before acting on a request — for a digitization order, that usually means confirming details of the order itself.
Non-discrimination. We will never deny you service, charge you a different price, or give you a lower quality of work because you exercised a privacy right. Declining cookies costs you nothing: every page, price, and service on this site works identically.
Authorized agents. You may use an authorized agent to submit a request on your behalf. We will ask for written proof of that authorization.
Sharing
We share information only with the service providers who help us operate — the analytics, spam-protection, and website platform providers named above — and only to the extent they need it to perform that function. We may disclose information where the law requires it, or to protect our rights, safety, or property. We do not share your originals or your digitized files with anyone.
Payment security
We do not accept, process, transmit, or store payment card numbers on this website. No page on this site contains a card-entry field. Payment for digitization work is arranged directly with our studio, and any card payment is handled through our payment provider's own secure systems — the card data goes to them, not to us and not through this website. If we ever add an online payment or financing option, it will run through a PCI-compliant third-party processor's hosted page, and this section will say so.
Data retention and security
Enquiry records are retained for as long as needed to serve you and to keep ordinary business records. Digitized files are retained for a limited period after delivery as described above. We apply reasonable administrative and technical safeguards to both. No method of storage or transmission is perfectly secure, and we do not claim otherwise.
Children
This site is not directed to children under 13, and we do not knowingly collect personal information from them. Family collections we digitize often contain images of children; those images belong to the customer who submitted them and are handled under the custody rules above.
Changes to this policy
We will update this page when our practices change and revise the "last updated" date at the top. Material changes will be made clear on the page rather than buried.
